|Description:||The Atlanta Community Food Bank is a non-profit organization supplying food and non-food products to over 600 programs in metro Atlanta and North Georgia. |
To perform receptionist duties, including but not limited to, answering telephone for staff, receiving and routing messages, sorting mail, receiving visitors for staff, and other duties as assigned. This position serves as a liaison between the Food Bank and representatives of member agencies. This position contributes additional work as deemed necessary and appropriate by ACFB management.
|Duties:||Responsibilities & Duties|
1. To provide receptionist tasks
a. To answer telephone, route calls and take messages for staff.
b. To greet and direct guests and visitors.
c. To check voice mail and route messages.
d. To log in Agencies as they arrive to pick up orders.
2. To provide general admin support
a. To assist with distributing ACFB information to guests.
b. To provide back up to Administrative Associate.
i. To ensure groups have successful meetings by:
1. Monitor requests for space in a timely manner.
2. Obtaining contracts and evidence of insurance as needed for external groups.
3. Maintaining reservation calendar with all required documentation.
4. Managing the logistics for set-up and use of meeting space.
5. Maintaining adequate inventory of supplies for designated/assigned spaces
6. Creating & deploying signage for meeting rooms and staff office space.
7. Communicating special needs to staff.
8. Alerting staff to potential parking overflow issues.
ii. To ensure office supplies & stationary systems are maintained.
iii. To serve as a back up to sort incoming mail.
iv. To ensure Customer Satisfaction Surveys are distributed bi-monthly to internal and external customers via Survey Monkey
3. Serves as a liaison between the Food Bank and representatives of member agencies.
a. Fields inquires about ACFB policies and procedures.
b. Responds to requests for membership applications and other written materials about the
c. ACFB through walk-ins & telephone.
d. Provides referral information to individuals requesting food assistance. Consults with Assistant Customer Service Supervisor about more difficult referrals.
a. High school diploma or equivalent required; prefer some college coursework in secretarial sciences or business.
2. Required qualifications
a. Two (2) years of clerical, reception, administrative or related experience; or equivalent combination of education and experience.
b. Ability to effectively communicate internally and externally, written and verbal.
c. Intermediate skills in MS Office Suite and Google.
3. Preferred qualifications
a. Possess multi-tasking abilities, follow directions, be detail-oriented, and a team player.
This position works in a typical office setting. There may be extended periods of sitting, standing and/or bending; listening, talking and/or visual concentration; writing and/or computer use. This position would normally have routine opportunities to alter physical position or change eye focus. Lifting should not normally exceed 10 pounds.
